Student Waitlist, Reapplication, and Priority Consideration Policy
Purpose
Ohio Ihsan Academy (OIA) maintains a waitlist to manage enrollment when the number of qualified applicants exceeds available classroom seats. This policy outlines how students are placed on the waitlist, how long the waitlist is maintained, and how previously waitlisted students may be considered in future admission cycles.
Placement on the Waitlist
A student may be placed on the waitlist when:
- A complete application has been submitted by the stated deadline;
- The student meets OIA’s admissions criteria; and
- No seat is available in the requested grade level at the time of review.
Families will be notified in writing if their child is placed on the waitlist. Placement on the waitlist does not guarantee admission.
Waitlist Prioritization
When placing students on the waitlist and when offering available seats, OIA considers the following factors, as applicable:
- Siblings of currently enrolled students
- Children of OIA staff
- Date a complete application was received
- Programmatic considerations, including:
- Grade-level balance
- Classroom capacity
- Staffing and available resources
- Ability to meet student needs
The school does not assign or share numerical waitlist rankings.
Duration of the Waitlist
The waitlist is maintained only for the academic year they are applying for.
Waitlists do not carry over automatically to future academic years. At the conclusion of each academic year, all waitlists expire.
Priority Consideration for Future Academic Years
Students who were waitlisted but not offered admission may receive priority consideration in the following academic year, subject to the following conditions:
- A new application must be submitted by the published deadline;
- The student must continue to meet all admissions criteria;
- Space must be available in the requested grade level.
Priority consideration acknowledges continued interest but does not guarantee admission. Due to limited annual openings, priority consideration may apply to only a small number of seats—or none at all—in a given year.
All applications are reviewed annually, and admission decisions are made independently each year.
Reapplication Requirement
Families of waitlisted students must reapply each academic year to be considered for admission.
Reapplying students are reviewed alongside new applicants. While priority consideration may be given to previously waitlisted students, final admission decisions remain at the discretion of the school administration.
Notification of Available Seats
If a seat becomes available during the academic year:
- Families will be contacted by email and/or phone in accordance with this policy.
- Families will be given a specified response window (typically 48–72 hours) to accept or decline the offer.
If a family does not respond within the stated timeframe, the offer may be extended to another student.
Acceptance of an Offered Seat
To secure an offered seat, families must:
- Confirm acceptance in writing by the stated deadline;
- Submit all required enrollment forms; and
- Pay any applicable enrollment fees or tuition deposits.
Failure to complete these steps may result in forfeiture of the offered seat.
Declining Admission or Removal from the Waitlist
Families may request removal from the waitlist at any time by notifying the school in writing.
If a family declines an offered seat, the student will be removed from the waitlist unless the family requests otherwise in writing.
Communication with Families
Ohio Ihsan Academy does not provide:
- Numerical waitlist positions, or
- Predictions regarding likelihood of admission.
Families may request general updates about the admissions process, but placement on the waitlist should not be interpreted as an indication of future admission.
Administrative Discretion
The school administration reserves the right to:
- Make final enrollment and placement decisions;
- Determine class size, structure, and composition;
- Modify this policy as needed to ensure educational quality, operational stability, and legal compliance.
